Guest list template

One row per invitation, not per person.

A guest list for your wedding the way most couples actually keep one: "Andrea & Michael" is one invitation for two. Fill it in here, see right away how many people you invite and who already replied, and download it as a CSV for Excel or for Ringske.

How to keep a guest list

    Why per invitation

An invitation goes to a family or a couple, not to every person separately. So put "The Peeters family" on one row with the number of people, and the children as well if you want to count them separately for the caterer.

That way the number of cards to print is right, and one person replies for the whole invitation: if two of the four say yes, you record exactly that in Ringske.

    Not everyone for everything

At many Flemish weddings one guest comes for the ceremony and the reception, another for the dinner and the party as well. Note per invitation which moments they are invited to, separated by a comma.

The couple names the moments themselves. When importing into Ringske, the import recognises the usual names (civil ceremony, ceremony, reception, dinner, party) and creates moments that do not exist yet.

In Excel, Numbers or Google Sheets

The download is a CSV file with semicolons, the way Excel in Belgium expects it. Excel and Numbers open it straight away. In Google Sheets, choose the semicolon as separator under File › Import.

Already working in your own spreadsheet? Rename the columns to those of the template, or leave them: Ringske also recognises the usual English and Dutch names, and you check yourself which column goes where when importing.

    From a list to replies

A guest list in Excel does not tell you who already replied. In Ringske you put one link or QR code on the card: guests look up their name and reply per moment, with how many are coming and their dietary needs. No app, no account.

Import this CSV into Ringske and every invitation is ready, with its moments. Planning is free; only when you open the wedding site and the RSVP does it cost €149, once.

    Questions

How do I count children on the guest list?

Children belong to their parents' invitation. Count them in the number of people, and also fill them in under "children" if the caterer or venue has a children's price. The total at the bottom then shows how many people there are and how many of them are children.

Why one row per invitation and not per person?

Because you send a card per invitation and get a reply per invitation. A list per person makes counting cards and following up replies harder, without gaining anything.

Is my guest list stored anywhere?

Only in this browser, so it is still there when you come back. Nothing goes to our servers. "Clear the list" removes it; on a shared computer, best do that when you are done.

How do I get this list into Ringske?

Download the CSV, create a free account and choose Import under Guests. The columns of this template are recognised straight away; you see a preview before anything is added to the list.

Can I use this in Excel or Google Sheets?

Yes. The CSV opens in Excel and Numbers as it is. In Google Sheets, import it with the semicolon as separator.

From a guest list to who is really coming.

In Ringske guests reply themselves, through one link or QR code on the card. You see per moment who is coming, with dietary needs for the caterer.
